We run a small construction company in Northern California. Most of our work is insurance jobs- burn damage and water damage. We work with many insurance companies, but most of our jobs are through AAA and Allstate.
We are looking for someone who is very good with Xactimate and Xactanalysis. We can build the scopes in Xactimate, but that’s it. We need help with all the other parts of Xactimate/Xactanalysis. We have an office manager who handles this right now, but they will be leaving the company soon.
Right now, our office manager does the following in Xactimate/Xactanalysis:
- receives the insurance jobs
- submits the scopes after we make them (adds some touch-ups and tweaks sometimes)
- bills the insurance company and receives payments
- tracks the insurance and insured payments for each job and makes sure we’re paid out completely
- tracks our jobs in Xactanalysis and Alacrity, keeps them updated with notes
Basically, we’re able to estimate the jobs, run the jobs, manage everything, schedule our guys, etc. Do everything out in the field. We are construction guys, not computer/software people. But the computer/software part is so important. Especially with insurance work since they only use these computer programs.
Right now, we are receiving/submitting 1-2 scopes per week. Not all of these become jobs for us. We have about 20-30 open jobs right now.
We’re looking for someone who can handle/manage these responsibilities. We don’t know how many hours it would take each week. Our office manager does other things outside of this, and has never tracked how they divide their hours.
We’re open to this being a regular weekly thing, or temporary, or for a set amount of time. We’re open to ideas.
Looking into the future, we would a) like to learn to do some of these Xactimate/Xactanalysis things ourself; and b) hire a new office manager who can learn to do them. So if you don’t want this to be a long-term thing, we hope you can help with some training also.
