Phase 1

Integrate high quality printable (ideally PDF) forms into an existing CodeOnTime application implementation, which is based on MSSQL 2008 and VS2010 (VB) and MS .NET 4.0.

Forms are required to have the following capabilities

Display logos and signatures (both vary) depending on contractor an are stored in the database

Extract data from the multidimensional database using existing SQL queries

Display these data on a printable form based on existing documents

Format these flexibly so for example widows and orphans do not occur

Allow editing of some of the underlying data fields

Allow navigation between records

Outputs:

Printable

Email to customers and contractors defined in the database as PDF

Selection of batches of reports to be sent

Selection of groups of forms to be printed or emailed (eg project report(s) or summary, invoice, and a copy of the purchase order.

Forms

The following types of forms will be required all with log addressing etc:

Project report - this is a letter extracted from the database. Must be addressed to the customer and all contractors (and emailed to all of them). An existing MS word form is available as a sample and must be closely mirrored.

Project summary report - all items in project reports amalgamated

Invoice (detailing multiple items). An existing MS word form is available as a sample and must be closely mirrored.

Reminder letters. Text to be defined.

Receipt.

Account statement detailing payments and invoice totals.

Customer report (multiple projects for one customer)

Contractor report (all the work a contractor has done for multiple customers) with invoices and/or receipts

Phase 2

Implementation of an online credit card payment gateway. SSL secured. This will be accompanied by a web site front end advertising our services.

Enhanced security. The implementation of a custom login interface is required. this should be based upon the presentation of a password, a pin number trans

Interface for expenses input - ideally this should be incorporate an iphone app, and a credit card ofx import facility

Expense reports by contractor

Accounts P&L and Balance sheet for each contractor, cash flow, banking, expenses, assets, liabilities, sales and purchase ledgers, journals

Reconciliation with ofx data

Existing CodeOnTime forms exist for most of these, the key issue is making the display smoother.

Other requirements

It must be possible for changes to be made to the CodeOnTime implementation without losing all the work done.

The CodeOnTime generated implementation must display a logo correctly, depending on the logged in contractor.

The contractor must indicate whether they are familiar with HL7 coding since integration with HL7 is likely to be required in future. Preference will be given to suppliers with a proven record of working effectively with HL7, but this is not essential. A willingness to learn and work with this technology is essential.

File locking should allow free access - locks should only be generated to allow records to be saved. However all financial record edits should be transactional.

The system must allow documents and images to be scanned directly into the database

The system must work on all browser platforms: PC, Mac and IPad, and should be compatible with Explorer, Chrome, Safari, Firefox

The implementation is confidential and copyright for all work must remain with ICML. It must be possible for ICM to distribute copies of this software freely

All source code must be submitted to ICML.

Costs for future development and bug fixes must be defined.
