Our client, An office, is looking to hire an Office Assistant to join their team. The ideal Office Assistant is a highly organized and self-motivated team player with as a positive attitude. He/she must have the utmost respect for confidentiality and exercise sound judgment and discretion, and must be highly proficient in Mac, PC, Word, Excel and Outlook. The Office Assistant must be able to sit and stand for extended periods of time and lift 50 pounds.
Responsibilities of the Office Assistant:
- Administrative tasks including updating spreadsheets, tracking expenses, answering phone/door, sorting mail, managing large mailings, managing contact lists, filing, printing and scanning
- Coordinating office technology, maintaining and troubleshooting central printer/copier issues, office/conference room tech and/or phone system
- Delivering items between offices and home, running errands as needed
- Processing returns, coordinating and tracking the gifting for adults, staff and children
- Tracking, wrapping and delivering gifts and packages
- Planning and executing a variety of administrative tasks and projects
- Planning and coordinating special events and employee/team outings
- Updating/monitoring/scheduling employee certifications and trainings, updating and printing of employee handbook and job descriptions
- Maintaining ongoing project binders
- Assisting with holiday cards and updating contacts
- Overflow of administrative projects and tasks from the COO, Chief of Staff, Executive Personal Assistant and Executive Assistant
- Other duties as assigned
Requirements of the Office Assistant:
- BA or BS is required
- 1-3 years administrative or office assistant experience
- Excellent organizational, planning and problem-solving skills
- Superior organization, time management and prioritization skills
- Proficiency in Mac/PC, MS Office Suite
- Excellent written and verbal communication skills
- Verification of identity, education, prior employment, and references may be required
