We need a Room Booking System. It must be a completely standalone app that we can deploy using cPanel (like Wordpress installation).
We have multiple Conference Rooms in our Buildings (multiple locations) that are shared by multiple companies with multiple employees (around 200+ Employees collectively and growing).
It needs to be secure, web based, with multiple address books (1 for each company). Also needs to have built-in multi-way Notifications, as people book the Rooms, or change Schedules, etc, they all get Notified immediately via Email, etc.
2 way Google Calendar Sync would be a nice to have feature for all users, but not required.
Payment System (Optional) not required, as it is an Internal System. But if you include one, we want the ability to turn it on and off. We occasionally have internal events / courses so we may be able to use the payments feature. Currently we do it manually.
It must have a settings page to setup Logo, and change a few colors, a little bit of branding, skin, etc. All settings like adding Buildings, Locations, Employees, Address books, etc will be done by the Admin(s).
So, basically It will be managed by multiple Admins. Users will not have access to settings.
Client Company setup page should allow for adding their logos and profile info, for each client company. It should show up on Schedule Page.
Each Employee from respective companies will get their own Account to login and manage their Conference Room Scheduling. User Registration must be approved by the Admin. But we many also turn on Auto Register / Approve for large number of User Registrations, from time to time. We may enable / disable / add / remove / other Users, from time to time.
We will give you a .csv to upload all Users and Admins.
We need a Modern and Slick Interface with very nice colors and Look and Feel. Ajax features are highly desirable.
Fully Responsive Interface. Should work on Mobile, Tablet, Desktop.
In the future we may want to add features to it, so we are looking for heavily documented code. Of course if you do a good job, you will be our first preference.
We need it in English / Arabic. In future we may add additional languages.
We will own all of the Source Code and Rights of this Software / Application.
We may consider it as a wordpress plugin, provided you can create a Nice and Clean and Flexible plugin.
You will need to submit the Graphic Design for Approval for all pages, and features / layout, etc.
Feel free to share any ideas or thoughts or additional features that you may be able to add for further value addition.
Also we are open to the technology you want to use to develop this Webapp, as long as it is widely compatible with most devices / browsers.
