What you are talking about is building a simple database. You pull the files out for a project, and as those files get pulled, the names/paths of the files are getting stored in a database. I could build you an application that allows you to simply name a project and pull the files. The database will then store a small file with all the information so that if needed, someone can go back, and simply enter the project name and it would give you a list of everything that was done with those files and be able to retrieve those files on demand.
