Automate Invoice processing using existing SaaS progam.

The major workflow pieces of the new invoicing process include: New WCEDI Provider Invoice 1. MSQ Portal [current] – Provider accepts quote and performs work and uploads electronic invoice. 2. MSQ Portal [new] – Provider must enter date of service with an invoice that will tie multiple file uploads of the invoice together. 3. Send Electronic Provider Invoice to WCEDI [new] – A process to send an electronic invoice file that combines the provider invoice and supporting medical documents that are uploaded by the provider for the date of service via FTP to WCEDI for OCR. 4. Receive 837 File from WCEDI [new] – After the electronic provider invoice is OCR an 837 file will be sent back to MSQ via FTP. MSQ will scan for new files and process them as they come in. The 837 will contain the HCFA information that parsed and this data will be loaded into the database. Additionally, WCEDI will send back the supporting documents in a separate file that were sent with the HCFA originally (with the HCFA sheet(s) removed). 5. MSQ Approve/Reject 837 [new] – New screens in the admin portal will be created to view incoming 837 files from WCEDI. Additional pricing information will be received with these files and will need to be stored in the database. MSQ staff can review: o Review/Update – invoice data can be modified and then accepted or rejected. Original electronic files sent to WCEDI as well as the actual bid request and bid should be visible for side by side comparison. o Accept – invoice is approved and it moves to the next step o Reject – invoice needs to go to the rejected workflow. EDI File Received - Accept 1. The MSQ admin can review the HCFA data received back from WCEDI and edit the information as needed before the invoice is created. This will be a new web screen that will allow the HCFA to be entered in a form that looks more like the actual form and the existing EDI Invoice screens will be removed. 2. The MSQ admin then hits the “Create Invoice” button and the electronic invoice is created based on the company settings for the current payer: o If company profile is set to ‘WCEDI Invoice’ then the 837 and HCFA are sent to WCEDI as it currently does. o If company profile is set to ‘Email’ then the HCFA and supporting files are sent like they are today via email to the designated invoice email accounts. Additionally, the invoice is saved on the Bid record as it does today. o If company profile is set to ‘Fax’ then the HCFA and supporting files are sent to the fax account on file and saved on the Bid record. o If company profile is set to ‘Print’ then the HCFA and supporting files are displayed on the screen and can be printed by MSQ admin. A copy of the invoice is saved on the Bid record. 3. Invoice to QuickBooks [new] – A copy of the electronic payer and provider invoice can be also sent to QuickBooks to eliminate the need to manually enter these for bookkeeping purposes. EDI File Received – Reject 1. MSQ Notifies Provider [new] – When an invoice is rejected coming back from WCEDI, the provider will be notified via email and a request to upload a new invoice will be started. 2. Provider will start the process back at step 1 in “New WCEDI Provider Invoice”.
